How ATS screening works for administrative assistants

The screening is mostly literal. Microsoft Office products by name (Outlook, Excel, PowerPoint), Google Workspace, calendar management, travel arrangements, expense reports, scheduling. “Proficient in office software” matches none of those searches. Name each program and each duty in the posting's words.

Every admin resume lists the same duties, so stand out with scale and trust. How many executives or staff you supported, how many meetings or trips a month, the size of events, money or time you saved, confidential work you handled. “Managed calendars” becomes “Managed calendars and travel for 3 vice presidents across 4 time zones.”

Keep your real titles, and use the posting's title in your summary line. Executive assistant postings expect evidence of senior support: board meetings, complex travel, confidential material. Put those first if you have them.

List typing speed if the posting asks or yours is strong (65+ words per minute). Skip skill bars and self-ratings: an ATS can't read them. Say what you did with the software.
